Rental Relations Coordinator
Under general supervision, performs concierge and vacation rental work. Provides information and assistance to guests, property owners, and visitors. Interfaces with public on site and by telephone. Position location is on island and at Deep Point. Reports to the Rental Relations Manager.
Knows product and inventory in order to be able to describe features and benefits. Communicates history, geography, and attributes of Bald Head Island to potential clients and visitors. On occasion shows prospective renter rental homes.
Receives and makes outbound telephone calls in response to inquiries regarding rental property and availability to prospective renters; solicits and sales rentals.
Receives inquiries, provides information based on considerable knowledge of the island's amenities, activities and programs, or refers the caller to the appropriate personnel; routes messages for department personnel and/or guests, as necessary. Relays information via telephone, 2-Way radio communication, and e-mail, and resort software tracking mechanisms.
Executes sales strategies to maximize rental sales including yield management techniques as directed by manager.
Enters reservation in computerized program; prepares and mails accurate confirmations and deposit requests to customers. Uses credit card machine or computerized accounting software to charge customer's credit card for deposit when requested by customer and obtain revenue protection with card number approval. Explains all reservation policies, cancellation policies, and transportation to each caller.
Responsible for booking arrival & departure tram reservations in transportation software. Stays abreast of ferry schedules for arrival and departure times. Ensures that guests can arrive and depart from their unit in a timely fashion.
Assists management with forecasting and yield management predictions by providing weekly feedback on customer responses.
Responsible for reaching individual sales goals that are a part of the teamâ€™s annual objective.
Communicates with property managers and other departments on any issues concerning the quality, upkeep and upgrade of units based on guest interaction.
Enters resort guest inquiries into the contact database.
Provides link identification for WinSales and SMS with respect to research/look-up and inquiries.
Assists with researching address issues and corrects same, as needed.
Assists with data processing special projects when needed.
Greets arriving guests, collects any outstanding payment and Guest Rental Contracts, answers guest questions and provides a check-in packet. Posts all payments received. Updates marketing material in check in packet as needed. Coordinates with Transportation for guests not checked in after the desk closes.
Delivers departure guest door tags to each unit for check-out times and procedures. Follows up with guests concerning departure procedures. Ensures that all guests have appropriate tram reservations, and adjusts according to the appropriate check out times.
Checks out departing guest and provides them with an itemized receipt if requested.
Distributes informational materials and updates bulletin boards, posters, rack brochures, and any other printed materials as needed. Screens and routes materials according to content of communication, relaying any pertinent information and requests to the Director of Communications.
Makes keys and maintains a key inventory. Creates duplicate keys when necessary.
Assists guests and property owners with a variety of services, including sending and receiving faxes and packages, making copies and luggage delivery when needed.
Produces daily reports regarding all shift activity. Runs accounting reports, balances cash drawer, daily revenue posting, and nightly drops.
Responsible for Night Audit Process and Procedures-- producing accounting reports, posting daily revenue, preparing arrival and departure information for following day.
Maintains guest service log and sends out a nightly Manager on Duty (MOD) report to appropriate personnel.
Graduation from high school or equivalent, one year experience in a position dealing with the public, computer literate, possess good oral communication skills, some resort or hospitality experience preferred and some familiarity of Bald Head Island and surrounding area preferred; or an equivalent combination of training and experience to provide the required skills, knowledge and abilities.
Requires the ability to exert up to 50 pounds of force occasionally, and/or up to 25 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
