Human Resources Support Assistant

JOB DESCRIPTION

Under general supervision, performs specialized technical and advanced administrative support work in human resource management administering benefit and personnel programs for Bald Head Island Limited. Responsibilities include maintaining various personnel and benefit files, systems, reports, and documents. Work is characterized by its variety, complexity and confidential nature. Reports to Human Resource Director.

DUTIES

Prepares benefit and new hire orientation packets for distribution to new employees. Serves as a backup to the Training and Development Manager for new hire and benefit orientation.

Coordinates annual open enrollment of benefits.

Makes identification badges for new employees and replacement badges, as needed. Takes photos and processes initial and replacement identification badges for employees. Updates RTP with terminations and department transfers. Enters and maintains computer personnel database of current records on all employees as needed. Provides a variety of support to the operations of personnel programs administered at Bald Head Island Limited. Works with the Training and Development Manager in coordinating the annual Treasure Day/Employee Health Fair, and/ or any programs driven by the Human Resources (HR) department. Scans hands and enrolls new hires at the time clock. Scans payroll and benefit changes to Savers. Processes unemployment benefits and FMLA.

Researches, edits and produces a variety of confidential and statistical reports from personnel database as needed. Develops and assists in the creation of surveys for benefits, salaries, and other requested information as needed. Performs responsible human resources administration work in assigned activities of the department including paraprofessional duties to support and relieve the Director. Position also provides support to the Recruitment and Training Manager, including operational details. 

Operational detail work may include the updating of Employees Handbook, monitoring internal systems such as the 45 day, quarterly and annual performance rating reminders and internal organization of various personnel or training projects that reach across the organization. 

Reviews applications for employment and their distribution to department managers. Scans applications for electronic file management through DocuXplorer. Acknowledges and responds to every application or resume in the form of an email or postcard. Track employee referrals.

Verifies criminal, and driving backgrounds, where applicable, and employment experience on applicants recommended for hire by the specific departments. Performs background checks on recommended applicants. Responds to inquiries from the general public by telephone, e-mail and in person, regarding employment opportunities, employment laws, the requirements of each position and the procedures for applying. Serves as purchasing agent for Human Resources and as a member of the Safety Committee. Provides key assistance to the Human Resource Director and Training Manager as needed.Performs other related work as required.

MINIMUM TRAINING, EDUCATION AND EXPERIENCE

Graduation from high school or a two year associate degree in administrative science and three years of progressively responsible human resources support experience in a variety of programs and specific experience in administering benefit plans, Family Medical Leave Act (FMLA) and Unemployment Claims. Computer operations including superior expertise in word processing, Excel spreadsheets, including sorting data, building spreadsheets, loading formulas and data base software, knowledge of Evolution preferred; or an equivalent combination of training and experience which provides the required skills, knowledge and abilities. Possession of a valid North Carolina driver’s license.
